We’re looking for a Part-Time Executive and Marketing Assistant to support our client in building organized systems, managing operations, and coordinating administrative and marketing efforts.

You’ll work directly with the business owner to ensure smooth day-to-day operations, maintain efficient workflows, and contribute to community engagement through creative and marketing support.

Hours: 10 hours per week
Rate: $7 USD/hour
Time Zone: Pacific time

Key Responsibilities

Operations

  • Create operational processes and automations that funnel leads to clients.
  • Enter event or booking details into client’s calendar.
  • Maintain the Budget Spreadsheet and central Database.
  • Create and update invoices depending on the client.
  • Manage Google Suite (Drive, Sheets, Docs, Calendar, etc.).
  • Collect data, pull reports, and analyze information to support business decisions.
  • Handle project management by organizing all resources in one location for transparent communication and collaboration.

Admin

  • Manage calendars and appointments.
  • Handle email correspondence and inbox organization.

Finance

  • Generate and update invoices as needed.

Sales & Marketing

  • Follow up with leads or clients.
  • Support social media marketing and newsletter preparation.
  • Assist with marketing communications and task coordination.
  • Create simple graphic and creative materials such as postcards.
     

Ideal Candidate

  • Tech-savvy and highly proficient in Google Suite, GoHighLevel, and Asana (MUST HAVE).
  • Flexible and able to train the client on systems being used.
  • Has a spirit of games and community and ideally knows or enjoys Mahjong (preferred but not required).
