About the Role
This is not a task-ticker position; this is a high-level operational seat at the table. We are looking for a process-driven, forward-thinking Senior Executive Assistant to serve as the structural backbone of a fast-growing business spanning multiple dynamic revenue streams.
In this role, you will work directly alongside leadership to bring order, clarity, and systemized efficiency to our operations. Your main mission is to serve as the ultimate air traffic controller—managing the administrative lifecycle across our platforms, bridging communication gaps, and aggressively protecting executive focus. What You'll Be Accountable For (The Outcomes This Seat Owners)
Multi-Stream Management: Own administrative and project management across all four core revenue streams—podcast operations (end-to-end), supplements, quarterly programs, and 1:1 coaching. You will compartmentalize progress and report performance metrics back to leadership, clearly separated by stream.
Proactive Shielding: Anticipate operational challenges, team blockers, and critical follow-ups, resolving them decisively before they ever reach leadership’s desk.
Partner Relations Enablement: Act as a key support layer in managing strategic brand partnerships, sponsorships, and external relationships.
Client Experience Stewardship: Oversee and elevate the end-to-end client experience, ensuring every touchpoint across the customer journey feels seamless, premium, and deeply cared for.
What You'll Be Doing (The Daily Responsibilities)
Inbox Triage & Control: Manage and clean up incoming communications across key organizational touchpoints (
info@,support@, andpodcast@inboxes)—efficiently labeling and flagging what truly requires executive attention versus what the wider team can handle.Podcast Administration: Own the end-to-end guest lifecycle and episode scheduling. You will aggressively chase episode titles and assets within a strict 24–48 hour window to ensure our editing team is never left waiting on Mondays.
Sponsorship & Partnership Delivery: Act as the single point of contact once a brand partnership is finalized—tracking deliverables, deadlines, and ownership while actively looping in the correct team members.
SOP Architecture: Systematically build out and document Standard Operating Procedures (SOPs) across every single income stream, ensuring critical business knowledge is organized and never lives solely in someone's head.
Information Organization: Establish and maintain a highly structured, logical, and secure filing system within Google Drive.
What We're Looking For (Non-Negotiables)
Podcast Operations Familiarity: Direct, hands-on experience coordinating and scheduling podcasts. You must understand the basic mechanics, timelines, and production flows of podcasting so you can hit the ground running without needing basic training.
Client & Partner Relations Background: Proven experience managing partner relationships or client experiences. You genuinely want to provide an exceptional level of care that feels authentic, warm, and human—never rigid, scripted, or "salesy."
Industry Alignment: Prior experience working within coaching, supplements, podcasting, digital media, or adjacent wellness industries.
The "Proactive Operator" Personality: You are naturally kind, thoughtful, and empathetic, but you pair this warmth with a sharp, driven operator's mindset. You are not a wallflower and you are not overly deferential; you actively take the initiative, anticipate needs before they are flagged, and hold your work to an exceptionally high standard.
