We’re looking for an Executive and Bookkeeping Assistant to support our client’s financial, administrative, and marketing tasks with strong attention to detail and deadline-driven work ethic.

Work Setup: Remote (Pacific Timezone)
Schedule: Part-Time – 10 hours per week
Rate: $7 USD per hour
Client Industry: Financial Services

Job Summary:

In this role, you will manage bookkeeping workflows, assist with client communications, create operational SOPs, update marketing content, and support social media and email marketing efforts. The ideal candidate has QuickBooks experience, is organized, reliable with deadlines, and comfortable tracking time accurately.

Key Responsibilities

  • Financial Tasks
    • Review financial reports and prioritize next steps using intuitive software tools
    • Perform routine bookkeeping tasks as part of ongoing services
    • Track work hours precisely using Keeper time tracking software
  • Administrative Support
    • Prepare and send client follow-up emails and reminders
    • Manage distribution of Engagement Letters
    • Develop SOPs and workflows using Word and Loom for clear process documentation
  • Marketing Assistance
    • Update and maintain website content
    • Edit videos for marketing content production
    • Begin consistent social media posting, scheduling, and engagement monitoring
    • Support email marketing campaigns and newsletter creation

Qualifications

Must-Haves:

  • QuickBooks experience and/or QuickBooks Pro Advisor certification or training
  • Strong ability to meet deadlines reliably
  • Willingness and ability to accurately track time worked
  • Detail-oriented with strong organizational skills
