About the Role
You will be the engine behind a brand dedicated to empowering high-achieving women entrepreneurs and professionals. The client's mission is to help women ages 40–65 transition from feeling overlooked to becoming unforgettable leaders by aligning their style, voice, and presence.
This is not a traditional "assistant" role; it is a strategic execution position. You will be responsible for managing the technical ecosystem (GoHighLevel), driving lead generation through aggressive networking systems, and overseeing the complex logistics of live workshops and digital courses.
Your goal is to clear the path for our client so she can focus on coaching, speaking, and thought leadership, while you ensure the business operations are seamless, the pipeline is full, and every client feels valued and supported.
Key Responsibilities
1. Sales: Funnel Development & Lead Systems
CRM Management (GoHighLevel): Oversee GHL operations, including building funnels, managing email sequences, and creating automated workflows.
Course Management: Assist in the construction and ongoing management of educational courses within the platform.
Lead Generation: Implement and execute proactive strategies to consistently feed the sales pipeline.
2. Operations & Marketing: Networking & Outreach
Strategic Networking System: * Research monthly business events and conferences for Dawn, presenting a curated list with cost, venue, and logistics.
Handle registration and calendar management for selected events.
Manage post-event follow-ups by digitizing business cards into GHL and initiating "Nice meeting you" outreach.
Exposure & Authority Building:
Identify and secure speaking engagements and podcast guesting opportunities.
Manage the application process and prepare professional Speaker/Guest sheets or website landing pages.
Identify exhibition opportunities for booth placement on a quarterly basis.
Content & Editorial: Draft and publish newsletter content for LinkedIn and the company website to maintain brand presence.
Workshop Promotion:
Execute 8-week promotional cycles with tiered discounting strategies.
Coordinate with the Social Media VA and implement specialized email sequences for both leads and confirmed attendees.
Research and pitch associations or corporate groups for color analysis workshops.
3. Client Management: Experience & Finance
Scheduling: Act as the primary point of contact for client scheduling and rescheduling to ensure a seamless experience.
Financial Oversight: * Manage the full payment lifecycle: sending reminders, confirming receipts, and monitoring pending balances.
Communication: Oversee general client-related inquiries to ensure timely and professional responses.
4. Administrative: Systems & Logistics
Inbox & Calendar Optimization: * Protect Dawn’s time by blocking driving buffers, personal commitments, and event windows.
Proactively manage call rescheduling and calendar conflicts.
Logistics & Organization: * Maintain a highly organized Google Drive filing system.
Coordinate workshop logistics, including venue confirmation, catering, and material preparation.
Requirements
GHL Technical Expertise: Advanced knowledge of GoHighLevel is essential, specifically regarding automation, funnel building, and CRM tagging.
Proactive Operations: Ability to run the "Networking System" independently, ensuring Dawn has a fresh list of opportunities at the start of every month without prompting.
Marketing Coordination: Experience managing promotional timelines (specifically for workshops) and collaborating with other team members like Social Media VAs.
Attention to Detail: Precision in managing financial tracking and complex calendar logistics (buffer times and travel).
