About the Role
This is not a position for passive task-takers. We are looking for a highly professional, meticulous, and process-minded CoWorqer to step in as our Executive & Operations Assistant.
Your main mission is to serve as the operational backbone of the business—owning the administrative lifecycle and client journey from start to finish. If you are a grounded remote worker who thrives on follow-through, takes pride in flawless administrative repetition, and ensures that no detail, calendar invite, or invoice ever falls through the cracks, this role was built for you.
What You'll Be Doing
Calendar & Appointment Management: Oversee the advanced setup and day-to-day coordination of Acuity Scheduling, maintaining control over scheduling links for masterclasses and new client offerings.
Client Onboarding Flow: Own the end-to-end client onboarding lifecycle, ensuring professional, timely, and reassuring communication flows from first contact to active status.
Document & Agreement Control: Prepare, dispatch, and track service agreements using Dropbox Sign, while maintaining pristine file organization inside Google Drive and Dropbox.
Financial Administration: Track customer payments, generate and send professional invoices, and log transaction details accurately within Square.
Project Tracking & Status Transparency: Maintain and execute daily administrative workflows inside ClickUp, updating task statuses in real-time to ensure absolute operational clarity.
Meeting Logistics Support: Set up Zoom meetings, distribute access links, and handle recording downloads and cloud uploads with speed and efficiency.

Acuity Scheduling (Advanced calendar coordination and setup)
ClickUp (Task management, statuses, and tracking)
Square (Invoicing and basic payment tracking)
Dropbox & Dropbox Sign (File storage and document execution)
Google Workspace & MS Office (Docs, Sheets, Drive, Excel)
Zoom (Link generation and cloud recording management)
