About the Role

We are seeking a proactive and detail-oriented Digital Marketing Assistant to serve as the operational backbone for our client's business. This role is ideal for someone who thrives in a fast-paced environment and has a "systems-first" mindset. You will be responsible for refining SOPs, managing client onboarding, maintaining our GoHighLevel CRM, and creating engaging social media content.

The ideal candidate is a self-starter who can "manage up," ensuring that workflows remain seamless and that our clients feel supported from onboarding to offboarding.

Key Responsibilities

(Note: Responsibilities will be implemented through a structured onboarding plan and will be prioritized by timeline)

1. Administrative: Operations & Systems

  • SOPs and Workflows: Refine and optimize standard operating procedures for podcast guest onboarding, client onboarding, and proposal delivery.

  • eWomenNetwork Back-office Support: * Coordinate directly with the Leadership Team and update speaker information.

    • Manage guest lists and coordinate with the SBI Coordinator.

    • Execute email communications for "Maximizing Your Membership" sessions.

    • Collect and organize logos/files for the Business Matchmaker.

    • Prepare professional Canva presentations and PPT decks.

2. Marketing: Content & Campaigns

  • Social Media Management: Create, schedule, and manage content across client social media accounts (Reels, static posts, Stories, etc.).

  • Creative Asset Management: Set up and maintain organized folders and files in Canva for various brands (eWomen, Veronica Bahn, etc.).

3. Client Management: CRM & Acquisition

  • GoHighLevel (GHL) Management: * Manage Veronica’s CRM by adding leads, updating data, and applying accurate tagging.

    • Integrate calendars and email accounts to ensure seamless scheduling.

    • Monitor and manage Google reviews and client testimonials.

  • Sales & Lead Gen Support: * Distribute client forms and perform diligent follow-ups.

    • Support client acquisition after speaking engagements.

    • Manage the "Digital Visibility Audit" funnel by sending out emails and identifying potential market leads for the $2,497 audit service.

  • Client Offboarding: Handle the end-to-end offboarding process, including file/recording deletion and sending final offboarding emails.

Requirements

  • GoHighLevel Expertise: Intermediate to advanced experience with GHL (CRM, tagging, and integrations) is a must.

  • Canva Proficiency: Ability to create high-quality social media assets and presentations.

  • Organizational Mastery: Strong ability to refine and follow SOPs with high attention to detail.

  • Communication: Excellent written English for drafting client emails and coordinating with leadership.

  • Tech Savvy: Familiarity with CRM systems, email marketing funnels, and social media algorithms.

  • Availability: Must be able to work 10 hours per week during US Arizona Mountain Timezone hours.
