Logistics Summary

  • Rate: $7.00 - $8.00 USD per hour

  • Location: Remote (Philippines-based)

  • Schedule: Part-time/Full-time (Pacific Timezone)

  • Mission: To provide meticulous administrative and marketing backbone for a high-achieving leader balancing military command, financial coaching, and government contracting consultancy.

About the Role

We are looking for a world-class Executive & Marketing Assistant to support Damita across her multi-faceted portfolio—ranging from her role as a Navy Reserve Commander to her leadership in veteran business education and financial coaching.

Because Damita operates at a high strategic level, she needs a partner who is obsessed with the details she might miss. You will be the "Director of Operations" for her daily life, ensuring her calendar is bulletproof, her leads are nurtured, and her "Call Rhythm" is executed flawlessly.

The Ideal Candidate

You are a "Force Multiplier." You thrive on bringing order to a fast-paced environment and take pride in knowing that because of your work, a leader can focus entirely on her mission. You are organized, vocal about deadlines, and ready to grow alongside a multi-dimensional brand.

Key Responsibilities

1. Precision Administration & Logistics

  • Travel Strategy: Anticipate travel needs and book all arrangements (flights, hotels, etc.). You must proactively "buffer" her calendar, accounting for travel time to/from airports and between meetings.

  • The "Top 10" Daily Brief: Every morning, you will send Damita her "Top 10 People to Call Today" list, based on her established call rhythm and guidelines.

  • Inbox & Project Gatekeeping: Manage complex email threads and remind Damita of pending replies. You will own the master to-do list, tracking timelines for military, consulting, and coaching obligations.

  • Financial Tracking: Maintain P&L statements per company (transitioning to automated systems) and handle client invoicing and timesheets.

2. Marketing & Growth Engine

  • Rapid Lead Nurture: Immediately following conferences or events, you will execute a multi-channel "Great meeting you" sequence (Email, CRM entry, LinkedIn/Social Media connection).

  • Continuous Touchpoints: Implement a long-term "drip" strategy to convert warm leads into coaching or consulting clients.

  • Opportunity Research: Proactively hunt for speaking engagements, industry events, and both private and public grants to fund her initiatives.

  • Digital Presence: Create content and manage engagement for social media; handle email newsletters and perform minor web tweaks/design.

3. Creative & Asset Production

  • Graphic Design: Utilize Canva to create professional decks, social assets, and marketing collateral that reflect her expertise in both the DOD/Government space and the financial coaching niche.

Non-Negotiables

  • Extreme Attention to Detail: This is your superpower. You catch the typos, the calendar overlaps, and the missed follow-ups that others don't.

  • Flawless Communication: Exceptional written and oral English. Your emails must be professional, clear, and error-free.

  • High Level of Ownership: You don't just wait for instructions; you anticipate what Damita needs before she asks for it.

  • Integrity & Confidentiality: Given her military and government contracting background, discretion is paramount.

Ideal Experience

  • Experience supporting high-level executives or military personnel.

  • Familiarity with CRM management and lead conversion funnels.

  • Proficiency in Canva, Google Workspace, and Web Design basics.

  • Interest in financial literacy, veteran support, or government contracting.
