About the Role
We are looking for a Proactive Executive & Marketing Assistant who thrives in a fast-paced digital environment. This role is perfect for a "Marketing-Minded Integrator"—someone who can manage a cluttered inbox with ease, but also understands how to turn a business card into a scheduled 1:1 and a podcast episode into a month's worth of social content.
You will be responsible for keeping the business "noise" low while keeping the marketing "momentum" high. We need someone who doesn't just wait for instructions but anticipates the next step in the funnel.
The Ideal Candidate
You are a "Force Multiplier." You are organized enough to manage a P&L spreadsheet and creative enough to write a high-converting newsletter. You are looking for a long-term role where you can take full ownership of the brand's administrative and marketing rhythms. You are someone who can work fast yet without sacrificing quality. Someone who can work independently with minimal supervision.
Key Responsibilities
1. Executive Admin & Communication Gatekeeper
Inbox Triage: Manage high-volume email accounts, drafting replies and ensuring no lead or client goes unreplied.
Networking Follow-up: Process business cards and new contacts provided by Dr. Moali. You will add them to the CRM, connect with them on social media, and send personalized "Nice meeting you" emails with booking links.
Data Stewardship: Maintain spreadsheets for business statistics, expenses, and affiliate revenue tracking.
Client Relations: Return unanswered calls and respond to client inquiries promptly.
2. Marketing, Content & SEO Strategy
Kajabi Management: Schedule monthly newsletters and maintain the website/blog with fresh content.
Social Media Ecosystem: * Execute the strategy and calendar, posting content created by the creative team (Pete & Emma).
Repurpose content across platforms to maximize reach.
Engage authentically with other accounts and manage all comments on Instagram and YouTube.
Creative Production: Use Canva to create professional graphics, posters, and content outlines.
SEO & Copy: Tweak website SEO for performance and write compelling sales copy and captions.
3. Partner & Sponsor Management
Affiliate Operations: Ensure affiliate products are strategically integrated into social media, blogs, and newsletters.
Sponsorship Coordination: Handle communications with current sponsors and proactively identify/reach out to potential new sponsors using tailored outreach templates.
Non-Negotiables & Preferences
Kajabi Experience: You must be comfortable navigating and scheduling within the Kajabi platform.
Marketing & Copywriting: Strong experience in writing "voice-aligned" copy that converts.
Highly Structured: You possess a Project Management mindset and naturally organize chaos.
Independent & Fast: You can work with minimal guidance and are known for your speed and accuracy.
Communication: A strict 24-hour reply window is required for all internal communications.
Design Skills: Basic to medium proficiency in Canva.
