About the Role

You will provide comprehensive admin, marketing, client management, and networking support to streamline operations across mental health and behavioral health initiatives. This role requires a highly organized, detail-oriented professional with GoHighLevel (GHL) expertise, HIPAA compliance knowledge, and experience building systems from scratch for mental health professionals. Strong project management and automation skills are essential to support clinical practices, podcasts, and community-building efforts.

Key Responsibilities ( Note: Responsibilities listed will be implemented through a structured 30-60-90 day onboarding plan and will be given by timeline )

Admin: Operations & Systems

• Handle bookkeeping and financial tracking

• Manage data transfers across platforms (ex: GHL to Headway and others)

• Oversee inbox management and organization

• Maintain Google Calendar scheduling and appointments

• Build and document systems, SOPs, and workflows

• Identify automation opportunities and implement workflows

Marketing: Content & Campaigns

• Follow up with clients through multiple channels

• Create marketing funnels for webinars, ads, course/product launches

• Manage podcast operations including worksheets, show notes posting

• Design graphics for campaigns and social media

• Edit video and audio content

• Develop social media content strategy, creation, and analytics

• Launch and manage newsletters

Client Management: Community Systems

• Send appointment reminders (IntakeQ/Headway integration)

• Build and implement systems to grow mental health communities in GoHighLevel

Networking: Lead Generation

• Create outreach processes/funnels for therapists, doctors from networking events

• Build therapist lists and execute multi-touchpoint email campaigns

Tools You'll Be Using

GoHighLevel (GHL), Google Calendar, Headway, IntakeQ, Manic Marketing funnels

Preferred Skills & Qualities

• GoHighLevel experience (non-negotiable)
