Executive & Marketing Assistant ( With SEO proficiency)
We are looking for a detail-oriented and tech savvy Executive and Marketing Assistant who is proficient with the use of SEO's and google ads to support our client in managing marketing, client scheduling, bookkeeping, and administrative tasks.
This part-time role focuses on marketing therapy services, client communications, and essential office functions within a telehealth mental health practice.
Work Setup: Remote (Pacific Time)
Schedule: Part-Time – 7 to 10 hours per week
Rate: $7 USD per hour
Client Industry: Telehealth Mental Health Practice (Maternal & Perinatal Focus)
Job Summary:
You will help organize and execute marketing strategies including SEO, Google Ads, content creation, and outreach for guest podcasting and speaking engagements. Additionally, you will manage client scheduling, bookkeeping, spreadsheets for client tracking and compliance deadlines, and email communications—all critical for smooth practice operations. The ideal candidate is proactive, communicative, creative, collaborative, and able to handle direct feedback while prioritizing confidentiality compliance.
Key Responsibilities:
Administrative Support
- Organize holiday gift sending: brainstorm, finalize lists, handle orders
- Create, maintain, and organize spreadsheets tracking clients weekly, biweekly, monthly, and follow-ups
- Monitor continuing education unit (CEU) state requirements and deadlines, and automate notifications
- Track tax deadlines
- Support bookkeeping with reconciliations, expense categorization, and regular maintenance to avoid backlog
- Manage email inbox with timely responses and communication
Marketing & Outreach
- Develop and implement marketing strategies for therapy services, benchmark competitors
- Optimize SEO and manage Google Ads campaigns
- Research and reach out to potential podcast guests, speaking spots, and magazine article opportunities via email
- Write and edit website copy
- Create and manage social media content, engage with followers, and monitor performance
Client Management
- Schedule client sessions and handle rescheduling communications
- Maintain excellent client communication with a warm, direct, and professional approach
Qualifications:
Must-Haves:
- Experience with marketing, SEO, Google Ads, and client communications
- Strong organizational skills, especially managing spreadsheets and scheduling
- Bookkeeping familiarity to support expense tracking and reconciliations
- Effective written and verbal communication skills
- HIPAA Compliance Training or willingness to complete yearly training
- Proactive, Type A personality with high attention to detail
- Comfortable receiving and applying feedback
- Able to work Pacific Time hours
- Creative, collaborative, and excellent communicator
