About the Role
You will provide comprehensive admin, marketing, client management, and tech support to help grow and streamline business operations. This role demands a highly organized, detail-oriented self-starter with a project management mindset and a creative marketing perspective. You will assist with email and calendar management, content repurposing, automation, client communications, and event support — helping the CEO stay efficient and the business grow.
Key Responsibilities
Admin: Operations & Email Management
Manage calendars for multiple programs and 1:1 calls.
Triage and manage Wendy’s email inbox — categorize, flag urgent emails, draft replies for review.
Set up email reminders and follow-up campaigns for events and membership workflows.
Organize Google Drive folders, SOPs, and key documents for easy access and consistent naming.
Facilitate interactions and leads in the WBL Facebook group.
Manage scheduling, calendar tasks, and basic email responses with draft-review workflow.
Develop and implement systems and workflows, such as automated renewal emails and outreach to new contacts.
Marketing: Content & Systems Support
Repurpose Wendy’s content (lives, trainings, talks) into social media posts, emails, and lead magnets using AI, aligned with brand voice.
Load, schedule, and manage email campaigns and automations in MailerLite or current platform.
Update event pages, landing pages, and simple website content as needed.
Schedule and verify social media postings and email sequences across platforms (Facebook, LinkedIn, Metricool).
Assist with tweaking branded visuals, creating posts, and checking links and sales pages.
Support complex funnel builds integrating Wordpress (non-payment pages) and ThriveCart (payment pages) with MailerLite automations.
Client Management: Event & CRM Support
Manage logistics for MAC and INSPIRE events — track registrants, send reminders, and handle post-event follow-ups.
Add and tag new clients/members in the CRM (HubSpot or chosen system) and ensure onboarding sequences run smoothly.
Collect, organize, and store testimonials and client success stories for marketing.
Handle back-end operations for live events, including attendee management, breakout rooms, and attendance reporting.
Conduct routine repetitive tasks such as sending event reminders and onboarding speakers.
Track membership status, renewals, event attendance, and marketing metrics—compile into dashboards or spreadsheets.
Additional Support
Assist with affiliate promotions by tracking links and reporting.
Prepare slides and format documents for workshops and presentations.
Conduct light research to support content and event preparation.
Potentially oversee additional team members as the team grows.
