About the Role

You will be the operational backbone of Brain Media, a marketing and creative agency dedicated to delivering high-impact brand strategy and digital content for entrepreneurs. This role is designed for a high-ownership partner who can translate vision into reality, moving seamlessly between technical execution, creative support, and client relations.

You aren't just an assistant; you are a Creative Operations Partner. Your mission is to manage the agency’s technical stack, oversee complex project lifecycles, and ensure that every piece of content and every client interaction reflects the professional standards of a media-led agency. You will clear the path for the leadership team to focus on strategy and growth while you handle the gears that keep the business running.


Key Responsibilities

1. Administration & Financial Management

  • Financial Oversight: Manage bookkeeping tasks, update financial records, and handle the full invoicing lifecycle to ensure healthy cash flow.

  • Logistics & Project Management: Oversee end-to-end project timelines and serve as the point person for event logistics, including venue finalization, vendor coordination, and Eventbrite management.

  • System Organization: Maintain a pristine digital ecosystem by filing, categorizing, and updating assets across Google Drive and Canva.

  • Communications: Manage executive inboxes and calendars, ensuring all stakeholders and event attendees receive timely, professional updates.

2. Creative Production

  • Content Synthesis: Take raw scripts and strategies from leadership to edit, format, and schedule final content across social platforms.

  • Video Post-Production: Audit raw footage, identify key cuts, and perform initial edits to prepare content for final creative touches.

  • Ad Operations: Set up, launch, and monitor Meta Ads campaigns to drive agency and client growth.

  • Website Maintenance: Updating product listings, speaker information, and event details current.

3. Sales Support & Lead Systems

  • The Connection Pipeline: Transform physical business cards into digital assets by adding leads to the CRM with accurate event tagging and notes.

  • Strategic Outreach: Proactively expand the agency’s network by initiating LinkedIn connections and drafting personalized follow-up emails.

  • Engagement Management: Monitor incoming messages and draft responses to maintain active conversations with prospects and partners.

4. Client Experience & AI Integration

  • Client Communications: Utilize custom GPTs to draft, refine, and format high-quality client emails and newsletters.

  • Outcome Ownership: Ensure all client-facing materials are polished, scheduled, and delivered according to the agency’s service standards.


Requirements

  • Tech Stack Proficiency: Proficiency with Canva, Meta Business Suite, and Instagram. Familiarity with Podia is highly preferred.

  • AI Fluency: You must be comfortable and experienced using ChatGPT , Gemini or any AI tool.

  • Marketing Acumen: Proven ability to manage Meta Ads (setup through monitoring) and a solid understanding of digital marketing funnels.

  • Operational Independence: A "take-the-ball-and-run-with-it" mentality. You should require minimal oversight once a direction is set.

  • Detail Obsession: Extreme precision in bookkeeping, file organization, and calendar management is non-negotiable.

  • Collaborative Spirit: A proactive thinker who brings new ideas to the table and feels a high level of ownership over the agency's success.
