About the Role

You will manage comprehensive financial operations including P/L statements, accruals, monthly bookkeeping cleanup, EBITDA reporting, sales tax compliance, and Katana ERP integration for two businesses. This role requires a detail-oriented accounting professional with strong retail experience, QuickBooks proficiency, and hands-on Katana/SBS (EDI) expertise to clean up existing books and maintain accurate financial visibility across inventory, COGS, and profitability metrics.

Ideal Candidate: Someone proactive and communicates well. Confident experience with at least 1 of the major tools (Katana MRP, Quickbooks )—but above all, a fast learner who can quickly master new tools and platforms

Key Responsibilities: ( Note: Responsibilities listed will be implemented through a structured 30-60-90 day onboarding plan and will be given by timeline )

P/L Statements & Monthly Accounting

Build and maintain accurate P/L statements for client's businesses
Manage accruals as regular tasks and ensure proper allocation of expenses to correct business entities
Execute monthly accounting tasks and clean up existing messy books

EBITDA Management & Product Costing

Manage, update, and report EBITDA metrics
Build and maintain product assemblies in Katana so ingredient-level costs accurately roll up into finished products
Ensure margin visibility per SKU in real time

Invoice Processing & System Alignment

Enter and code all invoices (ingredients, components, trigger sprayers, etc.) into Katana
Tie invoices correctly to one or multiple SKUs as needed
Keep Katana and QuickBooks aligned with proper COGS categorization and data syncing

Sales Tax Compliance

File sales taxes in Miami and California to avoid compliance and cash-flow surprises
Research appropriate local and state taxes to be collected when applicable
Summarize sales tax data and ensure timely handling to prevent penalties

Katana Purchase Order & Inventory Management

Create purchase orders and link them to correct SKUs
Track estimated arrival dates and adjust invoices for changes (e.g., shipping costs)
Mark items as "received" in Katana for real-time inventory updates
Support initial "clean slate" inventory audit with 3PL/fulfillment center

Financial Analysis & Invoicing

Flag margins, expenses, and profitability issues (e.g., uncollected shipping costs)
Issue invoices internally (product replenishment) and externally (partners) via Katana

Tools You'll Be Using

Katana MRP, QuickBooks, SBS (EDI), Google Sheets

Preferred Experience:

Proven Katana MRP, SBS (EDI), and retail operations experience
Strong finance/accounting background building P/L statements, managing accruals, and cleaning up books
QuickBooks proficiency with Katana ERP data alignment expertise
Sales tax filing experience (Miami and California) with compliance knowledge
Inventory audits and SKU-level cost management experience
