About the Role

This is a remote role requiring alignment with a mindful, family-oriented culture focused on supporting youth and community impact.

This role combines administrative, financial, and marketing support to help a community-focused nonprofit organization run smoothly and grow. You will play a vital role in documenting processes, managing events, assisting with finance operations, and supporting client communications. A strong background in administration and finance is essential along with a design mindset and a patient, collaborative personality aligned with a family-oriented, mission-driven culture.

Key Responsibilities

Admin:

  • Create business documents including forms, manuals, SOPs, gym manual, and employee handbook.

  • Handle event planning tasks such as camps, fundraisers, career fairs, and college fairs.

Finance:

  • Manage budgeting, financial planning, bookkeeping, and accounting tasks.

  • Prepare financial statements and documentation.

  • Collect payments from clients, including reminders for auto-debit, credit payments, and checks.

  • Use QuickBooks for bookkeeping and reporting.

Sales & Marketing:

  • Follow up with clients who have inquired but not yet scheduled assessments.

  • Draft and send monthly newsletters.

  • Address account-related client inquiries (e.g., password resets, credit card updates).

  • Plan and create social media content, engage with followers, and monitor/report on social media performance.

  • Communicate with new and potential clients about events, promotions, and new classes using a Client Management System.

  • Follow up on leads and contacts from networking and events.

Preferred Skills & Qualities

  • Strong administrative and financial background with spreadsheet expertise and understanding of financial planning and data analysis.

  • Computer skills with a design mindset for creating manuals, presentations, and posters.

  • Meets deadlines with a sense of humor and patience.

  • Ability to communicate thoughtfully with youth athletes and parents, prioritizing community and client satisfaction over financial gains.

  • Understands working in a nonprofit context with servant leadership values.
