Mission: To act as a high-level "Integrator" for a CEO overseeing three distinct organizations. You will manage the cross-functional complexity of finance, project management, and community-driven marketing.
About the Role
We are looking for an Independent Thinker who thrives on bringing order to a multi-faceted professional life. Sonja leads three different organizations (spanning women in business and special needs advocacy), and she needs an assistant who can "own" the administrative and marketing machinery of all three.
This isn't a role for someone who waits for a checklist. We need an experienced partner who has worked with CEOs before, understands the high-stakes nature of executive support, and can proactively suggest systems that improve efficiency.
The Ideal Candidate
You are a "Force Multiplier" who is organized enough to manage three sets of books and creative enough to draft a compelling newsletter article. You are a self-starter who takes pride in the "behind-the-scenes" excellence that allows a CEO to lead effectively.
Core Responsibilities
1. Multi-Org Project & Financial Management
Systems Architecture: Research and implement an effective Project Management system tailored to the unique needs of each of the three organizations.
Accountability: Track all timelines, deadlines, and deliverables. You will coordinate daily with Sonja and the broader team to ensure nothing slips through the cracks.
Financial Ops: Assist with tax preparation, maintain meticulous expense tracking, and manage data entry for bookkeeping and payables.
2. Strategic Marketing & Creative Design
Content Strategy: Own the LinkedIn and Instagram presence—from strategy and creation to engagement and analytics.
Design & Layout: Design, clean up, and update handouts and PowerPoint presentations for professional courses.
Email Campaigns: Manage monthly newsletters. Sonja provides the topic; you draft the content, layout the email, and handle the send-out.
Show Guest Coordination: Manage communications for show guests as we shift toward a bulk-interviewing model.
3. Research & Technical Writing
Newsletter Articles: Research and write articles for various newsletters across the organizations.
Grant Hunting: Proactively research funding and grant opportunities that align with our core missions (Women in Business and Special Needs).
4. The "Networking-to-CRM" Funnel
Pre-Event: Research relevant events monthly, present them to Sonja, handle registrations, and manage the calendar.
Post-Event: Transform business cards into leads. You will upload contacts to Constant Contact, tag them by event, send tailored outreach emails, and connect with them on LinkedIn.
Non-Negotiables
Executive Experience: You have previously worked directly with a CEO or high-level executive and understand the expected pace and professionalism.
Independent Thinker: You don't just point out problems; you come to meetings with research in hand and suggestions for solutions.
Proactive Communication: You provide "heads-up" alerts before issues arise and are always on time with deliverables.
System Savvy: Ability to manage a CRM (Constant Contact) and various project management tools across different brand identities. If not Constant Contact experience, CRM experience will be a huge bonus.
