Executive & Marketing Assistant (GoHighLevel Experience Required) | Part-time | Fully Remote PH Based | Eastern Timezone schedule
About the Role
You will serve as the operational backbone for executive support, marketing execution, client engagement, and performance tracking across GoHighLevel campaigns, social media, and client management. This role demands a proactive project manager with intermediate-advanced GoHighLevel expertise, strong organizational skills, and the ability to "manage up" while driving fitness industry promotions and client success.
Ideal Candidate: A detail-oriented professional experienced in fitness/nutrition/bodybuilding who excels at timelines, critical thinking, and cross-functional execution—especially GoHighLevel campaigns, Facebook ads, and client nurturing.
Key Responsibilities
(Note: Responsibilities will roll out through a structured 30-60-90 day onboarding plan)
Administrative Support
Manage Kimberly's calendar with client task reminders and recurring Zoom invites
Oversee Facebook group: create/post motivation content (2x/month via Canva), success stories (1-2x/month), call reminders (2x/month), and organize Guides section
Maintain Money Map and Trackers: monitor revenue targets, client goals, audience growth (social/email metrics), and weekly reports
Marketing Execution
Manage end-to-end GoHighLevel campaigns for webinars/events: confirm timelines, build email sequences/lead magnets, create signup pages/payment processing, post ads, and coordinate Zoom links
Handle social media: create/schedule/repost content using Kimberly's photos/stock images, promote signups (e.g., "comment FITNESS"), and repurpose reels from past trainings/webinars
Draft client email recaps with resources, next steps, and weekly touchpoints (progress updates, recipes, advice)
Client Management
Track deadlines and send form submission reminders pre-kickoff
Drive engagement beyond check-ins: tag clients in GHL for group emails/calls, provide extra-mile support, and flag disconnects in time/resource allocation
Post-call follow-ups: review Zoom notes, send recap emails, remind Kimberly of her action items, and draft admin inbox replies

Required Experience (Non-Negotiable)
Intermediate to advanced GoHighLevel expertise (campaigns, emails, landing pages, lead forms)
Proven Facebook ads management with lead forms and social media scheduling
Experience creating/replicating forms, pages, and promotional funnels
Strong project management for event timelines (Bootcamps, Challenges, etc.)
Preferred Skills & Qualities
Preferably an individual passionate about fitness, bodybuilding, or nutrition
Exceptional at "managing up": guiding executives, providing realistic pushback on timelines
Critical thinker who identifies resource/time disconnects and flags issues proactively
Advanced understanding of social media algorithms and posting reliability
Detail-oriented with excellent written English and client communication
