Mission: To act as the "Operational Engine" for Christen, bridging the gap between high-level admin, technical CRM management (Salesforce), and proactive marketing execution.
About the Role
We are looking for a Proactive Executive Assistant who possesses a strong marketing perspective. This role is not just about checking boxes; it’s about improving systems. You will lead our migration from DonorPerfect to Salesforce, optimize our Asana workflows, and ensure our marketing engine (email, web, and social) runs with perfect consistency.
The ideal candidate is someone who is meticulously detail-oriented but never loses sight of the "big picture." You are a self-starter who doesn't wait for instructions—you identify competing priorities and proactively communicate to keep the business moving forward.

Core Responsibilities
1. Salesforce & CRM Management (Priority)
Migration: Lead the migration and onboarding process from DonorPerfect to Salesforce.
Maintenance: Act as the Salesforce administrator, ensuring data integrity, updating records, and managing client/donor onboarding.
2. Marketing Execution & Design
Email Campaigns: Draft and manage monthly emails, ensuring all podcasts, announcements, and events are included. You will align this content with the social media and web teams.
Web Management: Perform monthly refreshes of website content to reflect the latest events and news.
Networking Concierge: * Pre-event: Research networking opportunities, present them to Christen, and handle registrations and calendar blocking.
Post-event: Draft follow-up emails and ensure new contacts are added to the CRM.
Creative Support: Assist with social media content creation and data analytics, bringing a "great eye for design" to all assets.
3. Advanced Admin & Project Management
Asana Mastery: You will be the internal expert in Asana, setting up projects and teaching Christen how to maximize the platform for efficiency.
Technical Admin: Create and optimize Google Forms, Excel spreadsheets, and complex reporting structures.
Inbox & Calendar Gatekeeping: Filter and organize emails into subfolders, flagging VIPs, and protecting Christen’s calendar from overlaps.
Expense Tracking: Monitor receipts and coordinate with the bookkeeper via Dropbox.
Non-Negotiables
Salesforce Experience: Must have a proven track record of managing and/or migrating data within Salesforce.
Asana Expert: Deep experience in Asana and the ability to train others on its features.
Strategic Communication: Highly proactive. If you have too much on your plate, you reach out to align on reprioritization before a deadline is missed.
Design Sensibility: A strong branding and marketing perspective; you know what "good" looks like.
Detail-Oriented Integrator: You catch the small errors but focus on the high-level perspective.
Preferences ( Bonus experience only )
Non-Profit Experience: Familiarity with the unique workflows and donor relations of the non-profit sector is a huge plus.
