About the Role
We are looking for a sharp, AI-savvy Executive & Marketing Assistant to serve as the operational "Integrator" for a high-profile brand. Our founder is a celebrity communication, body language, and peak performance coach who works with C-suite executives and media personalities.
Under her parent company, she operates two distinct pillars:
Speak and Get Booked: Helping experts get paid to speak.
The Global Confidence Academy: An online education brand focused on leadership and mindset.
This role requires someone who can move seamlessly between high-level executive support and technical marketing execution within the professional services and online coaching industry.
Key Responsibilities
1. Executive Operations & Project Management
Strategic Distillation: Reviewing conference notes and extracting the "Top 3" implementation items to keep business development moving.
Logistics Mastery: Managing the founder’s daily schedule, drafting email responses, and handling venue/travel logistics for live keynote events (travel times, maps, and venue details).
Project Tracking: Keeping clients, development tasks, and internal projects on track using a rigorous PM system.
Reporting: Sending a daily EOD Check-in (Progress vs. Accomplishments, pending decisions, and "Don’t Forget" reminders).
2. Marketing & Growth Execution
Speaker Pitching & Outreach: Researching major events/corporations and pitching the founder for keynote opportunities; managing warm follow-ups with organizers.
AI-Enhanced Content: Utilizing custom-trained GPTs to draft high-quality emails and content that mirror the founder’s specific voice and expertise.
Platform Management: Executing updates on WordPress and LeadPages; building landing pages and automated sequences in Mailchimp.
Social & Community: Creating/scheduling posts and managing active engagement on LinkedIn and Facebook groups (generic and private).
Media Support: Creating reels, show notes, and captions for podcast content.
3. Product & Client Experience
Visual Rebranding: Updating imagery across The Global Confidence Academy products to align with new brand standards.
Content Polishing: Refining program materials and PDFs (perfecting spacing, removing em-dashes, and improving layout) for a premium executive feel.
Post-Coaching Workflow: Managing the backend of group coaching sessions (filing Zoom recordings and sending follow-up emails).
Financial Admin: Creating Stripe and PayPal payment links and managing client follow-ups.
Qualifications & Skills
The Tech Stack: Proficiency in Mailchimp, WordPress, LeadPages, Google Suite, and Zoom.
AI Savvy: You must be comfortable using AI as a tool for efficiency, ensuring output is refined and high-level (not "copy-paste").
Analytical Eye: Ability to report on marketing analytics and recommend the "next best step" based on data.
Professionalism: Experience working with high-profile professional services or the coaching/info-product industry is a major plus.
